Customize line item descriptions

Various ecommerce scenarios demand different accounting documents. For retail customers, an easy-to-read invoice listing the purchased products, including their variants like color or size, is typically sufficient.

However, cross-country sales involving customs usually require more detailed documents. Such invoices should include the products’ countries of origin, Harmonized System (HS) codes, or weights.

Sufio allows you to choose between regular and commercial invoices, or add custom descriptions to line item names to meet your specific needs.

Select line item descriptions for regular and commercial invoices

Sufio offers two predefined options for the line descriptions: Regular invoices that contain the basic product and variant description and Commercial invoices with extended information.

To change the line description setting:

  1. In your Sufio account, navigate to the Settings → Documents page.
  2. Scroll down to the Document options section.
  3. Under Line description, select Regular invoices or Commercial invoices depending on your preference.
  4. Click on the Update settings button at the top of the page to apply the changes.

Regular invoices

The default setting. When Regular invoices are selected, the following product properties are displayed in the description column:

  • Variant name
  • SKU

Commercial invoices

Commercial invoices need to provide information for international export and import customs.

When Commercial invoices are selected, the description column includes extended product and variant properties:

  • Variant name
  • SKU
  • HS code
  • Country of origin

Note

Custom line descriptions are available only in the Professional and higher plans.

Set custom line item descriptions

If you need to include specific product or variant details on your documents, you can create custom descriptions according to your needs.

To set custom line item descriptions:

  1. In your Sufio account, navigate to the Settings → Documents page.
  2. Scroll down to the Document options section.
  3. Under Line description, select Custom description.
  4. Enter your description template in the text field. You can use the Properties and Filters dropdowns to select the contents, and the live preview will show an example line item description.
  5. Click on the Update settings button at the top of the page to apply the changes.

This change will affect all types of documents, including invoices and credit notes.

Please note that changes to line descriptions will apply only to newly created documents.
